The passport, visa and health requirements at the time of booking can be viewed on the Foreign and Commonwealth Office website for UK citizens, and on the Department of Foreign Affairs website for IE citizens. It is your responsibility to ensure that you and all members of your party are in possession of all necessary travel and health documents, and in compliance with any other immigration/entry requirements, before you travel, including whether your passport must be machine readable or which visas/waivers may be required for entry, such as ESTA for USA travel and/or ETIAS for EU travel. For some countries (e.g. Singapore, Thailand), you may be required to complete a Digital Arrival Card or other immigration procedures prior to or upon arrival. We recommend that you complete any required digital forms as early as possible to save time upon arrival. Please also be sure to check the validity of your passport and allow up to 10 weeks for passport renewals.

If your deal includes flights, the flight times shown are estimated and therefore subject to change. Please note that your preferred departure time cannot be guaranteed in every case.

Flight times and carriers will be confirmed by Exoticca Travel UK Ltd after you have made your booking. Within 7 days of confirming your booking with us, you’ll receive an email from the supplier, Exoticca Travel UK Ltd, with your final booking confirmation detailing the exact flight times confirmed for your specific reservation. The flight time will be within the time parameters and possible airlines detailed in this offer.

To provide you with the best choice, we partner with a wide range of airlines. Please be aware that many carriers now charge extra for optional services like seat reservations and additional baggage. These airline-specific fees are not included in your holiday price unless stated. We recommend visiting your chosen airline's website directly to review their policies and understand any potential additional charges.

Please note that a deposit of 35% of the travel price must be paid within 48 hours of your booking; the remaining balance of 65% is due no later than 60 days before departure. The travel booking only becomes binding when you receive our travel confirmation.

Important notes: this tour doesn’t include a guide on a daily basis. It is the responsibility of each passenger to self-transfer between hotels and meeting points for activities/excursions and to/from departure points of included transfers.

You will receive the exact Tokyo - Kyoto bullet train transfer details upon your arrival to Tokyo.

The usual departure time is between 9 and 10 AM leaving from Tokyo Station and reaching Kyoto Station around 12PM. Please arrive to Tokyo Station with enough time before departure to locate the exact platform and train you will be using. We can't guarantee specific seat requests (aisle, window etc.)

For Kyoto to Osaka, the usual departure time is 13:45 and 1400 AM leaving from Kyoto Station and reaching Shin Osaka Station (please note, Shin Osaka is a completely different station from Osaka station). Please arrive to Kyoto Station with enough time before departure to locate the exact platform and train you will be using. We can't guarantee specific seat requests (aisle, window etc.)

A number of Japanese cities impose an accommodation tax, which must be paid directly to the hotel.

Non-smoking rooms: unfortunately, hotels in Japan have a reduced number of non-smoking rooms and we can not guarantee you will be allocated one advance. Please note: double beds in Japanese hotels are not always the standard Western size and can sometimes be less wide.

Accommodation at the hotels is as indicated. In the event of any changes to accommodation, they will always be of the same or a higher category. The category of hotels is not standardized across all countries in the world. For this reason, the criteria may differ depending on the destination country's own standards.

In the case of adverse weather conditions, for safety reasons or for any other reasons deemed appropriate, the order and duration of the excursions included in the itinerary may be changed or cancelled without prior notice.

While on the road, it is highly unlikely that the vehicle will be equipped with WiFi or bathroom facilities, though rest stops will be made for long trips. We recommend purchasing a new SIM card at the airport or placing an e-SIM before travel to guarantee internet connection.

For those passengers who book a trip without international flights through Exoticca, you will need to share your flight details with us with at least 30 days before arrival to Japan if you want to book the meet and greet service. Offer conditions: remember to download your e-ticket to confirm the times of your flights and to complete online check-in using the airline's website, or directly at the check-in desk at the airport.
